Protecting your information

Cheshire Teaching Agency

Cheshire Teaching Agency is a recruitment business providing work-finding services to its clients.  The company acts as a data controller by processing personal data (which may include sensitive personal data) which is collected when personal information is submitted via application forms on our website.  Categories of data collected via the application forms include client name, address, telephone number, email address, national insurance number, nationality and bank details for processing payroll. Perspective candidates’ information such as CVs may be sourced from job boards or job websites.

Prior to February 2018, direct payment from Cheshire Teaching Agency was an option for candidates and clients therefore bank details attained prior to February 2018 are a category of personal data securely held by Cheshire Teaching Agency.  This data is in hardcopy/paper form only and is stored and concealed securely with access strictly limited to certain employees of authority.  Since February 2018, bank details are exchanged directly between our third-party payroll company and our clients and candidates therefore bank details attained since February 2018 are not a category of personal data held by Cheshire Teaching.

How is your data processed?

Personal data will be processed with legitimate interest – for the purpose of providing work-finding services.  This service is provided by contacting clients regarding job opportunities, assessing suitability for those opportunities, updating our databases, putting candidates forward for job opportunities and arranging payments.  If you have opted-in we may also contact you by sending marketing information and news via email or text.  You can opt-out from receiving these at any time by clicking “unsubscribe” when you receive these communications from us.

Cheshire Teaching Agency may be required to process your data for the purpose of investigating, detecting and reporting crime and also to comply with any laws that apply; this may include demonstrating our compliance with industry standards.

We must have a legal basis to process your personal data including obtaining your consent.  The request for consent is included in the online registration form mentioned above.

 

Data retention

Cheshire Teaching Agency will retain your personal data only for as long as is necessary for the purpose we collect it.  Data will then be securely destroyed.  After 6 months, any unprocessed data sourced via the online application forms is classed as inactive and will be digitally and securely archived.  Archived data can be retrieved in the event a client wishes to continue their application within this time frame.  Data that has been sourced from email is archived at the end of every academic term.

Personal data is stored either electronically or in hardcopy form.  Electronic data is stored securely with measures in place to protect the data and limit accessibility. Access is strictly limited to certain employees of authority.  Personal data in hardcopy form is stored and concealed securely with access strictly limited to certain employees of authority.  Hardcopy data may include copies of digital data – this is a security measure in place to prevent loss of personal data in the event a technical error occurs.  We also have a Firewall (security software) in place to protect our internal information from the Internet.

Social media

We enjoy communicating with our customers via our Facebook page, but we do not store any personal information from those interactions outside of that platform, unless of course we have taken a booking and then the information is covered as outlined in the above paragraph.

Google Analytics

When someone visits www.cheshireteachingagency.co.uk we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

 

Cookies

We may obtain data about you from cookies through our website www.cheshireteachingagency.co.uk.  These are small text files that are placed on your computer by websites that you visit.  They are widely used in order to make websites work or work more efficiently.  Cookies also enable us to deliver more personalised content. Most web browsers allow some control of most cookies through the browser settings.  Please note that in a few cases some of our website features may not function if you remove cookies from your browser.

External Websites

Our website may contain links to external websites.  Please be aware that Cheshire Teaching Agency is not responsible for the privacy practices of such other sites – we encourage you to read the privacy statements of every website that collects personal data. 

Third parties

Cheshire Teaching Agency may share personal data with third parties such as the school and payroll company.  Such data may include details of hours worked by a client or contact information such as names, telephone numbers and email addresses so contact can be achieved between the client and third party.  The request for consent to share your personal data for this purpose is included in the application form.

Your rights

Please be aware that you have the right of access to the personal data that Cheshire Teaching Agency holds; the right to rectify any personal data we hold that may be incorrect; the right to erase your personal data in certain circumstances; the right to restrict the processing of your personal data; the right to data portability in certain circumstances; the right to not be subjected to automated decision making and the right to withdraw consent at any time.  If at any time you require practise of your rights please contact Sophie Chambers at Cheshire Teaching.
